The Diversional Therapy Association of New South Wales Inc
adheres to the requirements of applicable Australian law and the 10
National Privacy Principles as set out in the Privacy Act 1988 (amended
by the
Privacy Amendment (Private Sector) Act 2000).
PRIVACY POLICY
This policy outlines how The Diversional Therapy
Association of New South Wales manages privacy protection of personal information.
Purpose of the Policy
The Diversional Therapy Association of New South Wales will take all
reasonable steps to comply with the Privacy Act and to protect the privacy
of our members, through the appropriate management of all personal information
that is collected.
The Policy applies to all persons involved in the Association.
This includes members, committee members, prospective candidates for membership,
employees, business associates and any person who provides us with their
personal information.
The Diversional Therapy Association of New South Wales collects stores
and holds the following information:
- Information specific to members,
- HR (Human Resources) / personnel records, and,
- Health Records
This includes:
- Name
- Address
- Home Phone
- Work Phone
- E-mail
- Occupation
- Work Title
- Field of Work
- Employer's Name
- Employer's Address
- Year's experience
- Education History
- Attendance at Association functions (eg. Meetings,
workshops, conferences, etc)
Information specific to Employees:
- Name
- Address
- Date of Birth
- Phone number
- Email
- Mobile number
- Tax File number
- Bank Details
- Career History
- References
Others:
- Any information provided by these sources may be maintained.
Why we collect it?
The Diversional Therapy Association of New South Wales will only collect
information if deemed it is necessary to meet the needs of members.
When we do so we will inform the individual on what it will be used
for. In most cases we will only collect information directly from the
individual and where information is collected from a third party we will
inform the individual.
All information collected is strictly for use of The Diversional Therapy
Association of New South Wales and its members.
Information is collected in accordance with this Policy and our obligations
under State and Federal Legislation.
Other information collected concerning employees is collected to ensure
compliance with tax office obligations and other industrial instruments.

Information collected will only be used to assist with the future
direction and development of the Association.
USE AND DISCLOSURE
Information Use
Personal information is collected for the purpose of:
- Processing applications and renewals and updating membership details
and profile information
- Networking
- Development of the profession
- Research
- Development of promotional materials
- Professional development and education
- Conducting market research in order to identify and analyse the
ongoing needs of Association members
- Ensure compliance with the Associations Constitution and Regulations
- Provide members with Association and related publications and information
- Provide members with access to and information
about current and
future member benefits
Personal information is also collected for the purpose of:
- assessing suitability for a:
- type of job
- position
- business vacancy
- processing payments
- reporting to government
In addition we may also collect information to support research within
the profession.
Disclosure
The Diversional Therapy Association of New South Wales Inc may disclose personal
details to:
- Service providers
- Insurer/s
The Diversional Therapy Association of New South Wales may disclose information,
as follows:
- The Diversional Therapy Association of Australia
National Council may request membership information for the purposes
of delivering services at a National level.
- Regulatory organisations may require membership
and personal information.
- Current financial members of regional and special
interest groups may access your work practice details relevant to
their respective group/interest area.
- Association committee members (including National
Council representatives, management committee members and working
party group members) may access your information.
- Current financial members may access the work details
of other Association members who have NOT separately requested that
their information not be disclosed. This information will only include
work details and be specifically related to networking and / or mentoring.
- Members of the general public have access to membership
status and private practice details of members who have consented
to have their details listed in The Diversional Therapy Association
of New South Wales Private Practice Directory.
- External organisations and businesses may send
information to The Diversional Therapy Association of New South Wales
for distribution to members. The Diversional Therapy Association of
New South Wales may receive a fee for this service.
However, no personal information will be sold, released or distributed to other
organisations or businesses.

- In addition to this, the Association may disclose
your person information if The Diversional Therapy Association of
New South Wales is required to by law, by court order or to investigate
suspected fraud or other unlawful activity.
Please note:
Only current financial
members can access information maintained by the Association.
As outlined above we will make the individual aware of information
that has been collected from a third party.
In doing so,
- We will ensure that all your personal information held is accurate,
complete and up to date
- We will make a written note of disclosure where necessary
ACCESS TO PERSONAL INFORMATION
The Diversional Therapy Association of New South Wales provides access
to personal information that is held.
If members require access to their
personal information a written request must be submitted to the secretary
of The Diversional Therapy Association of New South Wales and information
will only be provided to current members of the Association.
A charge
may apply depending on the complexity of the request. This will be
decided upon on application for access to information.
COMPLAINTS
If a member has a complaint about the privacy practices or wishes
to make a complaint about how their personal information is managed
they may contact the Management Committee.
The person must put their
concerns in writing and addressed them to the Executive Committee.
All
complaints will be dealt with in a confidential manner.
STORAGE
The Association will take all reasonable steps to protect the security
of the personal information that is held. This includes appropriate
measures to protect electronic materials and material stored and generated
in hard copy.
What happens if a person chooses not to provide us with the information?
People are not obliged to give us their personal information.
However,
if they choose not to provide The
Diversional Therapy Association of NSW Inc with their personal
details (relevant to meeting membership criteria as prescribed under
our Constitution) we may not be able to
accept them
as a member or within a position of employment.
It may also restrict
our ability to assist people in accessing many of our services such
as regional groups and telephone support through the office.
Sources of Information
Where possible the Diversional Therapy Association of NSW Inc will
collect the information directly from the prospective member/ employee.
However,
in some cases we may receive personal information from referees or
people that have worked with or are working with the prospective
employee/ member.
If the personal information was collected not from
the prospective employee/ member but from third party, the Association
will take all reasonable steps to inform that individual and provide
the above collection statement.
